Receptionist/Office Assistant Job Description
At Greater Toledo’s 102.3 Proclaim FM, the receptionist/office assistant plays a critical role in making our guests and callers feel welcome when they interact with us either in person at our facility, or on the phone. You will be responsible for greeting and welcoming listeners and visitors, and making their time here an enjoyable experience. Additionally, you will assist with various office and administrative duties. This is a part-time position, requiring 12-18 hours a week. (The opportunity for more hours will exist.)
Skills
The receptionist/office assistant position is a “people person” position. Employee must be energetic, creative, outgoing, warm, and welcoming.
Strong computer literacy necessary. Proficiency in email, word processing and spreadsheets (Microsoft Office) strongly desired. Proficiency in Quickbooks a plus.
Prior administrative/office experience helpful
Strong organizational skills required
Comfort with phone systems and voice-mail needed
Listener/Customer focus
Ability to calmly and professionally handle pressure
Office/Facility supply management
Responsibilities/Duties
Welcomes visitors by greeting them, and directing them appropriately. Creativity in how to make the office a welcoming place for visitors is strongly desired.
Assists in answering or referring inquiries.
Assists visitors with inspection of materials in the public file. Office Assistant will ask Program Director or General Manager for assistance if they are available.
Pleasantly answering phones and routing calls to appropriate recipients
Taking messages with complete information including name, business/ministry, contact information, and purpose of call or directing caller to recipient’s voicemail box
Keeping office files properly organized, or taking initiative to better organize with supervision of Office Manager
Maintains safe and clean reception area by complying with procedures, rules, and regulations.
Assisting with Quickbooks data entry and deposits.
Assists Promotions Director in organizing and distributing prizes to listeners (whether picked up at office or mailing out.)
Any other duties as assigned by General Manager or Office/Facility/Business Manager.
